Logistics Assistant – Responsibilities & Qualifications
Under the direct supervision of the Logistics Associate based in Douala, overseeing the rail-road project and operations management in Ngaoundere, the incumbent will be responsible for the following duties and responsibilities:

Key Responsibilities:

  1. Logistics Operations Monitoring: Ensure the proper implementation of logistics operations in line with WFP standard procedures to guarantee the smooth flow of activities.
  2. Control of Food Reception & Storage: Supervise the reception, storage, and loading of food, ensuring adherence to official documentation such as reception slips, waybills, loss certificates, and other required documents.
  3. WFP Information System Management: Oversee the full use of the WFP information system at all stages of the supply chain, from unloading foodstuffs to storage and loading for destinations. Ensure the quality and accuracy of system data.
  4. Transaction Monitoring: Ensure all transactions in the system comply with standard procedures, align with supporting documents, and adhere to WFP guidelines.
  5. Document Filing: Maintain an organized filing system for all supporting documents related to warehouse operations, ensuring easy access and retrieval when needed.
  6. Data Analysis: Regularly analyze warehouse transactions and data, covering food receipt, storage, repackaging, status changes, destruction/donation, and dispatch to ensure accurate tracking.
  7. Collaboration with Transport Team: Work closely with colleagues managing transportation to ensure timely recording of food movement transactions in the system.
  8. Shipment Coordination: Share details of shipments with recipient countries daily, using the correct format approved by the direct supervisor.
  9. Inventory & Reconciliation: Participate in monthly physical inventories and reconciliation efforts after counts to ensure accurate stock records.
  10. Stock Discrepancy Management: Identify, report, and justify discrepancies between system stock and physical warehouse stock, maintaining reconciliations and regularizing any inconsistencies.
  11. Stock Monitoring & Reporting: Produce daily reports on warehouse stock levels, alerting the supervisor to any critical items with expiry dates, funding expiration, or other important stock information.
  12. Daily Shop Inspections: Conduct daily inspections of the shop and stock at the start and end of each day, reporting findings according to the format provided by the direct supervisor.
  13. Loss Reports: On a monthly basis, prepare and submit a report on any stock losses incurred in the shop.

Qualifications & Experience Required:

  • Education: A Bachelor’s degree or equivalent in management, logistics, IT management, or statistics.
  • Experience: A minimum of three years of professional experience in logistics. Experience with the United Nations system or NGOs is highly desirable.
  • Competencies:
    1. Good physical fitness for warehouse and field activities.
    2. Proficient in computer skills including word processing, spreadsheets, PowerPoint, and internet usage.
    3. Strong teamwork and public relations abilities.
    4. Demonstrates integrity with a focus on transparency and rigorous management practices.
    5. Knowledge of database management is an advantage.
  • Languages:
    1. Excellent command of French and good working knowledge of English.
    2. Proficiency in local languages is a plus.
