ABK COCOA FARM is recruiting to support its operational needs and is seeking a qualified Executive Assistant to provide high-level administrative and organizational support to the Chief Executive Officer.

Primary Mission

Provide comprehensive executive, administrative, and organizational support to the CEO of ABK COCOA FARM. The role requires a high level of professionalism, confidentiality, and operational efficiency to ensure the seamless management of daily activities.

Key Responsibilities

1. Operational Oversight

  • Conduct regular field visits to monitor and verify the execution of agricultural operations, and report findings to the CEO.
  • Facilitate smooth communication and coordination between field teams and executive management.
  • Coordinate the work of external service providers, consultants, and partners involved in the project.

2. Administrative and Document Management

  • Manage the filing, archiving, and tracking of executive and operational documents in both digital and physical formats.
  • Ensure data integrity, accessibility, and confidentiality across all files.
  • Develop and maintain an efficient document management and retrieval system.

3. Communication and Strategic Intelligence

  • Monitor industry trends, competitor activities, and regulatory developments within the cocoa sector.
  • Oversee the company’s institutional website: update content, publish news and articles, and ensure proper technical maintenance.
  • Manage the company’s social media presence: create engaging content, moderate interactions, and analyze communication performance metrics.

4. Meetings and Executive Secretariat

  • Organize meetings and events: prepare invitations, materials, and briefing documents.
  • Draft accurate minutes and follow up on decisions and action items.

5. Executive Support

  • Manage the CEO’s calendar, including scheduling and coordinating professional and personal engagements.
  • Handle correspondence, calls, and messages with discretion and efficiency.
  • Assist with confidential personal matters, ensuring total privacy and trust.

Profile Requirements

Education and Experience

  • Advanced degree in Executive Assistance, Business or Administrative Management, Communication, or a related discipline.
  • 3–5 years of proven experience as an Executive Assistant or in a similar role.
  • Experience in the agricultural or agro-industrial sector will be a strong advantage.

Skills and Competencies

  • Excellent command of office software and communication tools.
  • Strong proficiency in website management and social media communication.
  • Exceptional writing, editing, and synthesis skills.
  • Precision, organization, and strong attention to detail.
  • Proven ability to maintain strict confidentiality and professional discretion.

Personal Attributes

  • Autonomous, proactive, and adaptable.
  • Strong interpersonal and organizational skills.
  • Willingness to travel to production sites as required.
