Scope of Work

As part of the upcoming launch of a health program, FHI 360 will organize a workshop during the second week of September in Yaoundé. The workshop is expected to run for up to five (5) days, with an estimated attendance ranging between 100 and 200 participants. Further logistical details will be shared in due course.

To support this event, we kindly request a proforma invoice from your organization for translation and interpretation services, as outlined below. A detailed cost breakdown—per participant and per day—would be highly appreciated.

Requested Services

1. Interpretation Services

• One interpreter to provide English-to-French interpretation.
• One interpreter to provide French-to-English interpretation.
• Interpreters must demonstrate proven ability in simultaneous interpretation during diverse workshop sessions, ensuring accuracy and fidelity of meaning.

2. Translation & Interpretation Equipment
Provision, installation, and operation of the following equipment:

• Soundproof booth(s)
• Table microphones
• Receivers
• Mixer
• Power amplifier
• Loudspeakers
• Wireless roving microphone

Content of the Offer

The proposal should include the following:

• Administrative file, containing up-to-date documentation such as:

  1. Certificate of registration

  2. Certificate of conformity

  3. Proof of bank domiciliation

• Detailed financial proposal, with itemized costs as requested

Technical File Requirements

The technical proposal should include the following components:

• Letter of Introduction: A one-page cover letter summarizing the firm’s interest and suitability for this assignment.
• Company Profile: Brief presentation of the firm, highlighting relevant experience, expertise, and capacity.
• Approach, Methodology, and Work Plan / Operational Processes: A detailed description of the internal and external processes that will be applied to ensure successful delivery of the requested services.
• Proof of Experience: At least three (03) verifiable references from reputable organizations or companies, demonstrating prior experience in similar assignments.
• Curricula Vitae (CVs): Profiles of the proposed interpreters, clearly showing their qualifications and substantial experience in simultaneous interpretation.

Financial File Requirements

• A comprehensive proforma invoice with an itemized cost structure, distinguishing between:

• Fixed equipment costs.
• Variable equipment costs (dependent on the final number of participants, which will be confirmed later).
• All prices must include applicable taxes.

Evaluation Process

Proposals will be evaluated in four (04) stages:

1. Review of offers received.

2. Verification of administrative and legal documents.

3. Assessment of cost competitiveness and relevant experience.

4. Site visit, if deemed necessary.

• The organization may cancel this solicitation without awarding a contract.
• FHI 360 may reject any or all proposals received.
• Issuance of this solicitation does not constitute a commitment to award.
• Any offeror failing to comply with solicitation requirements may be disqualified.
• No compensation will be provided for proposal preparation or submission.
• Awards may be made based on the initial evaluation of proposals without further negotiations.
• FHI 360 may decide to award only part of the requested services or issue multiple awards based on the solicitation activities.
• Amendments to this RFQ may be issued at any time.
