Product Information

Cocoa

We are experts in the world of cocoa, handling everything from beans to powders, butters, and more. As the world’s leading supplier of cocoa beans, we maintain a strong presence in 10 major producing countries across Africa, Asia, and South America. Our direct sourcing and comprehensive traceability from farm to factory enable us to promote sustainable practices throughout the cocoa supply chain.

Systems and Procedures

Managing the placement of empty containers for loading and coordinating the transfer of filled containers to the RTC.

Operational Tasks

  1. Receive the booking confirmation from the Pre-shipment supervisor, detailing the number and types of containers needed.
  2. Collaborate with logistics providers (such as AGL, Movis, Camaco, etc.) to ensure trucks and necessary equipment are available for container positioning, lifting, and transfer.
  3. Verify that empty containers are in good condition and properly positioned for loading.
  4. Ensure photographs of all sides of containers are taken before and during stuffing; archive these photos, organized by shipment order/BL.
  5. Ensure containers are weighed both empty before stuffing and full on the weighbridge prior to transfer to RTC or third-party facilities.
  6. Plan and coordinate container preparation with the relevant contractor.
  7. Work with RTC to obtain the required BEE for container transfers.
  8. Transfer full containers to RTC in a timely manner, adhering to RTC cut-off dates, and ensure the same for FOB yards.
  9. Ensure that full containers are weighed at the port weighbridge (DPWS) before their transfer to RTC.
  10. Follow up on weighment tickets for both full and empty containers at the weighbridge.
  11. Confirm that the weight of empty containers is within acceptable limits.
  12. Coordinate with the shipping department to plan and manage stuffing in collaboration with the warehouse supervisor.
  13. Arrange fumigation with the relevant company and report the details to the pre-shipment supervisor for documentation.
  14. Report any issues or irregularities to the shipment or plant manager.
  15. Plan for container availability in advance of stuffing operations.
  16. Maintain a stock ledger for packing materials and regularly report the remaining quantities to relevant parties.
  17. Ensure third-party acknowledgment of container transfers to their yards is received within 24 hours of dispatch.
  18. Issue the “Bon de sortie pour embarquement” for all full containers transferred to third-party yards.

Documentation and Reporting

  1. Provide the list of containers to the Pre-shipment supervisor, including all related interchange details.
  2. Collect and file RTC EIR and scanning tickets within 48 hours after the full containers have left the site for RTC.
  3. Update and share the container report daily.
  4. Share weekly updates on pending stock at RTC and other designated yards.
  5. Share weekly updates on full containers that have been at RTC and other designated yards for extended periods.
  6. Provide weekly reports on full and empty containers that have reached detention for costing purposes and the provisions taken.
  7. Provide weekly shipment tracking for all BLs in transit and long-standing shipments, sorted by liner.
  8. Ensure post-stuffing photos are available when required.
  9. Monitor the condition of cocoa in long-standing containers, whether in our yard or third-party yards, before transfer to RTC.
  10. Prepare a daily container floor plan and share it with all concerned parties.
  11. Update the container movement ledger daily and distribute it to all relevant parties.

Cost Management

  1. Efficiently manage expenses and resources, ensuring costs remain below the allocated budget.
  2. Properly handle empty containers in our yard to prevent prolonged storage and potential damage that could result in additional expenses.
  3. Reduce the costs associated with transferring containers to third-party yards for storage.

Security, Environment, Health, and Safety

  1. Ensure that all container positioning and lifting activities are conducted in safe conditions.
  2. Make certain that all temporary workers and contract laborers in critical roles are equipped with the necessary PPE.
  3. Immediately report any near-miss incidents or other safety-related issues to the Safety Supervisor.
  4. Ensure that all office equipment is turned off at the end of each day.

  • Work closely with the shipping department to plan and coordinate stuffing with the warehouse supervisor.

B. Documentation & Reporting

  • Provide the Pre-shipment supervisor with a list of containers, including all relevant interchange details.
  • Collect and file RTC EIR and scanning tickets within 48 hours after full containers leave the site for RTC.
  • Update and share daily container reports.
  • Monitor and report on the condition of cocoa inside containers that have been stored for extended periods, whether in our yard or third-party yards, before transfer to RTC.

C. Cost Management

  • Optimize the management of expenses and resources.
  • Ensure empty containers in our yard are managed properly to avoid long-term storage and potential damage that could incur additional costs.
  • Minimize costs associated with transferring containers to third-party storage facilities.

D. Security, Environment, Health & Safety

  • Ensure that all container positioning and lifting activities are carried out safely.
  • Verify that all temporary workers and contract laborers in critical positions are protected with appropriate PPE.
