Key Responsibilities
1. RITA Data Entry & Verification
- Ensure accurate data entry from waybills and other transport documentation into the RITA system, adhering to established Standard Operating Procedures (SOPs).
- Verify that waybills are correctly signed and aligned with the project plan.
- Conduct field verification missions (when feasible) to confirm the delivery of bednets at designated locations.
2. Reporting & Data Management
- Oversee daily data collection and tracking, ensuring timely updates and maintaining system accuracy.
- Develop and maintain a historical recording and filing system for project data.
- Ensure accurate and timely reporting to both internal and external stakeholders.
- Prepare weekly updates, highlighting key figures and delivery progress.
- Generate bi-weekly receipts and dispatch reports for insurance purposes.
- Consolidate loss reports for insurance claims.
- Assist in preparing comprehensive project reports as required.
3. RITA System Management
- Implement and maintain RITA Standard Operating Procedures (SOPs) to enhance system efficiency.
- Coordinate with field offices to establish a daily reporting system.
- Ensure continuous online system availability and regular reporting to clients.
- Manage the integration and utilization of mobile devices for efficient data collection.
- Work closely with the IT department to develop and enforce a daily data backup procedure.
4. Documentation & Record Keeping
- Centralize the filing of electronic and original transport documents.
- Assist the Country Office in verifying transport invoices and documenting deductions for transporters.
- Ensure all open actions are closed and documentation is properly archived at the end of the operation.
5. Staff Training & Support
- Provide coaching and training to field logistics assistants, ensuring full proficiency in RITA system usage.
- Act as a deputy to the Logistics Officer (NOA/SSA) when needed.
