Job Summary
Good Neighbors International is seeking a dedicated and detail-oriented Administrative & Finance Assistant to support the efficient execution of administrative and financial tasks for the PULCCA project. Reporting to the Project Finance Officer, the successful candidate will collaborate with staff and volunteers to ensure compliance with organizational policies and donor requirements.
Key Responsibilities
Finance Support
- Assist in the development and management of financial systems in coordination with the Finance Officer.
- Plan, direct, and monitor accounting and financial operations.
- Prepare and process payment requests for project activities, procurements, and staff travel.
- Oversee project budget execution, ensuring alignment with plans and assisting in the preparation of monthly financial reports for submission to WFP.
- Evaluate financial requests from field staff against planned budgets to ensure compliance before approval.
- Manage transport payments for program participants.
- Prepare monthly financial closing documents, including scanning and archiving files.
- Collect and organize financial documentation (e.g., purchase requests, invoices, payment records).
- Handle petty cash purchases as assigned.
- Review supporting documents for payments before filing or submission.
- Ensure timely payment of invoices.
- Support internal and external audits and control reviews.
- Analyze vendor quotations and pro-formas.
- Assist in activity budget planning.
Administrative Support
- Maintain detailed HR files for all PULCCA project staff.
- Manage leave requests and balances using the Docs Wave platform, updating leave trackers, and archiving related documentation.
- Implement administrative procedures in line with Good Neighbors policies and donor requirements.
- File administrative and financial documents weekly, adhering to organizational filing systems.
- Prepare and manage documents for meetings, workshops, and seminars, including finalizing related reports.
- Facilitate procurement processes, including preparing quotations, purchase orders, contracts, and payment requests.
- Establish and maintain physical and electronic filing systems for incoming and outgoing communications.
- Handle hotel, taxi, and flight bookings for staff and guests.
Additional Responsibilities
- Manage project equipment and oversee maintenance.
- Train in-country staff on Good Neighbors’ Finance and Administration regulations.
- Foster collaboration and build strong relationships with team members and partners.
- Ensure shared documents are consistently updated.
Qualifications and Skills
Minimum Requirements:
- Bachelor’s Degree in Finance, Business Administration, Accounting, or a related field.
- Minimum of 2 years of relevant experience, or equivalent academic and professional qualifications.
- Proficiency in both written and spoken English and French.
- Strong interpersonal and report-writing skills.
- Attention to detail with a proactive and flexible approach.
- Proficiency in MS Office (Word, Excel, PowerPoint).
- Familiarity with accounting software, particularly QuickBooks, is an advantage.
- Strong analytical and organizational skills.
- Demonstrated integrity and reliability in professional settings.
- Willingness to travel domestically and adapt to field conditions.
- Experience with international NGOs is highly desirable.
