Key Responsibilities
As an HR Assistant, you will play a crucial role in supporting our HR operations. Key responsibilities include but are not limited to:
- HR Assistance: Address general HR inquiries and provide follow-up to ensure the consistent delivery of high-quality services.
- Guidance and Training: Offer on-the-job training to colleagues to enhance their knowledge of HR systems and procedures.
- Interdepartmental Liaison: Coordinate with other internal teams (e.g., payroll, contracts) to ensure timely and accurate HR services.
- Data Management: Compile HR data related to recruitment, contractual conditions, performance, and training, aiding analysis and reporting efforts.
- Administrative Support: Assist in various HR activities, including onboarding of new staff, in line with WFP procedures.
- Records Management: Maintain confidential personnel records, databases, and archives to ensure data integrity and compliance with standards.
- Documentation: Draft key HR documents (e.g., employment contracts, transfer letters) with attention to detail and within set deadlines.
- HR System Usage: Use HR management systems to enter and update data while tracking important deadlines (e.g., contract expiration) to ensure accuracy and compliance.
- Staff Deployment: Support administrative tasks related to staff deployment and prepare basic reports to ensure rapid and effective response in crisis situations.
Key Requirements for the Human Resources Assistant Role
Professional Experience:
- Proven track record of managing and implementing HR policies and procedures, ensuring alignment with the World Food Programme (WFP) operational standards.
- Hands-on experience in delivering HR services, such as payroll administration, recruitment, and interview facilitation.
- Demonstrated ability to provide ad-hoc guidance and mentorship to less experienced team members.
- Experience in conducting onboarding processes, offering comprehensive briefings to new employees.
- Exposure to working in various WFP contexts, adapting to diverse strategic priorities across different regions.
Minimum Academic Qualifications:
Education:
- Completion of secondary school education is required.
- A post-secondary certificate in a relevant field is highly desirable, enhancing your qualifications for the role.
Language Requirements:
- Full professional proficiency (Level C) in English is mandatory.
- Depending on the job location, proficiency (Level C) or intermediate knowledge (Level B) in another official language may be required.
